Informal Request Protocol for Student Records
Sheridan promotes access to information and transparency of its governance and decision making. In many cases, the information you seek may be already available, for example on Sheridan’s website. Before making a formal request for access to information (or to correct your personal information) under FIPPA or PHIPA, you may contact the Records and Registration division of the Office of the Registrar to see if they can provide you with the information you are seeking. If the information is readily available then we may direct you to the information, or where appropriate, send the information directly to you. Please refer to the guidelines below in making an informal request.

Additionally, informal access to Student Information is governed by our Access and Release of Student Information Policy and its procedure, the Informal Request for Student Information from Individual and Third Party Procedure.
Informal Requests
- Requirements for the request will vary depending on who is making the request and what information is being requested:
- Properly identified students may make requests to see their own information in person directly from any of the six sources of information as described in section 2, depending on which information is desired. No further documentation of these requests is required.
- If a student does not know the source or scope of their desired information or are unable to make an in-person request, they should submit a written request to the Registrar in accordance with the following guidelines.
- Third-party requests made by a representative of the student must be made in writing to the Registrar with valid student authorization, using the Informal Access Request for Student Information from Individual and Third Party. Students making requests in person in accordance with section 1 (a) do not need to submit a form.
- There are several areas of Sheridan that may be holding components of your Student Record or additional Personal Information. These areas are:
- Counselling Services
- Office of the Registrar
- Health Services
- Accessible Learning
- Office of Student Rights and Responsibilities
- Student Advisement
- Note that a signed Informal Request for Student Information Form constitutes your consent for the release of your information by each of the departments indicated in the form through the coordinated efforts of the Office of the Registrar.
- Requests should be as specific as possible. Clearly outline the nature of the information sought. The broader your request, or the more departments you seek information from, the longer your request will take to process. The extent of the information potentially available to you is described on the form.
- No official transcripts, certificates or diplomas will be released through an informal request to a student with outstanding financial obligations to Sheridan.
